Role Overview
The Operations Coordinator will support the day-to-day operations of the organization, helping ensure that processes, people, and resources are coordinated efficiently to support strategic goals. This role focuses on hands-on coordination and administrative support, covering areas such as process support, project coordination, scheduling, budget tracking, and compliance documentation.
The Operations Coordinator will work closely with the operations and leadership team to keep the organization running smoothly and support sustainable growth, developing toward broader operational responsibility over time.

- Secondary: Chief Executive Officer
Key Responsibilities
- Operations & Administration: Support and coordinate the day-to-day operations of the organization, ensuring effective coordination across programs, ventures, administration, and external service providers. Help maintain operational systems, workflows, policies, and SOPs that support organizational efficiency and growth.
- Financial Management & Reporting: Support the liaison with bookkeeping, accounting, and finance consultants. Assist with budget tracking, expense reconciliation, audit preparation, financial reporting, and procurement activities. Help maintain organizational dashboards and reporting systems that give leadership visibility into financial and operational performance.
- Human Resources & Team Operations: Support HR administration, including recruitment, onboarding, offboarding, employee documentation, policy implementation, and coordination of performance management processes.
- Legal, Compliance & Risk Management: Support coordination of relationships with legal counsel and other professional service providers. Help maintain contracts, corporate records, insurance, governance documentation, and compliance requirements related to grants, employment standards, privacy regulations, and organizational policies.
- Strategic Operations & Executive Support: Assist in preparing reports, dashboards, and updates, and support the COO and operations team to keep operations running smoothly and enable leadership to focus on strategic partnerships, fundraising, ecosystem development, and program growth.
Requirements
- Project coordination experience, with a track record of supporting and helping deliver projects end-to-end, with practical proficiency in tools such as Asana. Formal project management training or certification (e.g. PMP or equivalent) is an asset.
- Solid Google Workspace proficiency for operational and administrative tasks.
- Experience supporting business operations through effective process coordination, project coordination, and resource coordination.
- Experience coordinating or supporting teams and tracking performance against set targets.
- Experience supporting budget tracking and coordinating with vendors or service providers.
- Strong organizational, multitasking, and problem-solving skills with high attention to detail.
- Strong written and verbal communication skills for reporting, documentation, and stakeholder correspondence.
- Analytical mindset with the ability to interpret data and support operational improvements.
- Demonstrates strong initiative and the ability to work effectively both independently and as part of a team.
- Proven ability to handle confidential information with discretion and integrity.
- Minimum of a college or university diploma, or at least 2–4 years of professional experience in operations, administration, or a related field.
