Role Overview
The Assistant to the CEO will provide high-level personal, family, and administrative support, ensuring smooth day-to-day operations and effective coordination across school-related needs, household logistics, scheduling, finance tracking, and HR-related communications.
This role requires a proactive, trustworthy, detail-oriented individual who can manage sensitive information, handle multiple responsibilities, and support both personal and administrative functions with professionalism.
Core Responsibilities
- General Administrative Support: Maintain calendars, schedule appointments, and organize family activities. Ensure all relevant documents (school forms, medical records, IDs, contracts) are properly stored and updated. Coordinate travel logistics when required (itinerary reminders, packing lists, appointments). Keep a running list of weekly priorities and follow up to ensure completion.
- Child & School Support: Assist with school registration, documentation, uniform preparation, and school-related communication. Coordinate after-school activities, including sports, swimming, tutoring, and weekend programs.
- Finance-Related Administrative Duties: Track and reconcile personal expenses, receipts, and payments. Maintain structured financial records for monthly review (purchases, subscriptions, school payments, activity fees). Provide reminders for upcoming bills, renewals, or payment deadlines. Support budgeting by organizing spending into clear categories (school, activities, home, utilities, etc.). Support with Nobellum-related finance tasks as required.
- HR & Communication Support: Draft and send communications on behalf of the Executive when required. Support coordination with service providers, caregivers, tutors, and household staff. Assist with documentation and communication related to hiring personal support roles (babysitter, housekeeper, tutors, etc.). Prepare simple HR documents such as schedules, onboarding notes for new helpers, and follow-up reminders.
Qualifications
- At least 1 year of full-time project management experience.
- Strong organizational and multitasking abilities.
- Excellent communication skills—verbal and written.
- Ability to handle confidential and sensitive information with discretion.
- Experience providing childcare or supporting children with learning or communication needs is an asset.
- Basic proficiency in spreadsheets and digital organizational tools (Google Docs, Sheets, Notes apps).
- Warm, patient, and attentive personality.
