Position Overview

The Events Coordinator will play a key role in supporting the operational and logistical success of Nobellum’s programs and events. This role is ideal for someone who is organized, detail-oriented, and passionate about ensuring smooth behind-the-scenes operations.

You will work closely with the program and operations team to manage administrative tasks, streamline communication, and coordinate logistics for internal and external events. From supporting program documentation to executing high-impact innovation events, this position touches every corner of Nobellum’s ecosystem.

Key Responsibilities

  • Support end-to-end logistics for events, masterclasses, venue booking, catering, tech setup, signage, and related needs
  • Create event run-of-play, agendas, and production schedules
  • Coordinate speaker and panelist communication before and after events
  • Coordinate with marketing, operations and programs team to streamline marketing and promotion of events as required
  • Track RSVPs, manage guest lists, and ensure a smooth registration and check-in process
  • Serve as a point of contact during event execution to support setup and troubleshooting
  • Communicate event and program details to participants, partners, speakers, and external stakeholders
  • Coordinate with internal team members to ensure clarity on event roles and responsibilities
  • Draft and send professional emails related to scheduling, invitations, and follow-ups
  • Maintain a high standard of clear, timely, and friendly communication

Requirements

  • Strong organizational and time management skills
  • Previous experience in event coordination, administration, or program support is an asset
  • Proficiency in tools such as Google Workspace, Canva, Zoom, and Asana
  • Strong written and verbal communication skills
  • Comfortable working in a fast-paced, dynamic environment
  • Collaborative mindset and attention to detail

Eligibility

  • Must be between the ages of 18–30
  • Must be a Permanent Resident or Citizen of Canada

Time Commitment

  • Full-time (35 hours/week)
  • Occasional evening or weekend availability may be required based on event timing
